Clayfest Job Description

This position is responsible for preparing the building for the show. This covers the work necessary to install the physical Gallery space and utilities, to ensure necessary audio equipment is on-site and functioning, and to coordinate the installation of the pipe-and-drape for all spaces.

Pipe and Drape

1. Ensure all Committee Chairs' needs for pipe-and-drape are met

2. Take participants orders for pipe-and-drape by phone/email prior to show

3. Negotiate and select an outside contractor to install pipe-and-drape

4. Provide a set-up map for the rental company

5. Supervise the set-up to ensure correct placement and allocation

6. Tally the actual linear footage and determine price per booth

7. Coordinate with Bookkeeper to ensure all participants booth fees are correct

Sound System

1. Ensure all Committee Chairs' needs for audio support are met

   • DEMO microphone
   • Information/Security announcement system and microphone
   • Music/stereo system for show's background music

2. Negotiate and select an outside contractor to install audio equipment

3. Supervise the set-up to ensure correct placement

Gallery Set-Up

1. Contact committee members to explain responsibilities and project schedule

2. Arrange for walls, lights, shopping baskets, and pedestals to be available for the show's dates and arrange for delivery of these items from Portland

3. Ensure the Local Clay pedestals are moved on-site and refurbished as required

4. Coordinate and supervise the gallery set-up crew to install the gallery space

5. (ie : walls, lights, pedestals, etc.) in coordination with Gallery Display Chair

6. Coordinate and supervise the gallery set-up crew to dismantle the gallery immediately after the close of the show

7. Ensure all items borrowed from OPA/Portland are accounted for and delivered back to Portland

8. Ensure that all Local Clay pedestals are put into storage
